EASE Retreat Guest Policies and Agreements

Welcome to the EASE Retreat.
We are honored that you are considering joining us for this experience. The EASE Retreat is designed to be an intimate, restorative, and thoughtfully curated gathering. To help create a smooth and supportive experience for all guests, we ask that you carefully review the following Guest Policies and Agreements.
These policies govern registration, payment, cancellations, attendance, participation, media usage, and other important aspects of the retreat experience. By registering for and attending the EASE Retreat, you acknowledge that you have read, understood, and agree to these terms and conditions.
1. Payment Schedule
The total registration fee for the EASE Retreat is $15,000 per guest. Payment is due according to the schedule below. By completing your registration, you acknowledge and agree to these payment terms.
Payment Options
The registration fee may be paid in full at the time of registration, or in five monthly installments of $3,000 each. Where the installment option is chosen, the first installment is due at the time of registration and confirms the guest's spot. The remaining four installments are due on the same calendar day of each of the four months following registration and are charged automatically to the payment card provided at registration. All fees must be paid in full no later than April 30, 2027, regardless of when installments begin.
Late Registration
Guests who register after December 31, 2026, may not have sufficient time to complete the full five-installment schedule prior to the April 30, 2027 deadline. In such cases, the remaining balance will be divided equally across the number of full calendar months remaining between registration and April 30, 2027. The full balance remains due by April 30, 2027.
Payment Methods
We accept major credit and debit cards. Afterpay may be offered at checkout subject to Afterpay eligibility and terms.
Failed or Missed Payments
If a scheduled payment is not received by its due date, EASE will make reasonable efforts to contact the guest and provide an opportunity to cure the missed payment.
In the event the scheduled payment remains outstanding for more than fourteen (14) days following its due date, EASE reserves the right to cancel the guest's registration and offer the retreat space to another participant.
For registrations cancelled due to non-payment on or before April 30, 2027, amounts previously paid will be converted into a credit toward a future EASE Retreat or qualifying EASE event. No refunds will be issued.
For registrations cancelled due to non-payment on or after May 1, 2027, all amounts paid shall be forfeited and no refund or credit will be issued.
2. Cancellation Policy
We know that life happens. This policy is intended to balance flexibility for guests with the realities of planning a small, intimate retreat with limited capacity.
48-Hour Grace Period
A full refund will be issued for cancellations submitted within 48 hours of registration, provided the cancellation occurs no later than April 30, 2027.
Cancellations After 48 Hours Through April 30, 2027
Guests will receive a credit toward a future EASE Retreat or qualifying EASE event. Alternatively, a full refund will be issued once a replacement attendee identified by the guest has been approved by EASE, completed registration, and paid the full registration fee.
Cancellations On or After May 1, 2027
No refunds or credits will be issued for cancellations received on or after May 1, 2027, regardless of the reason for cancellation.
All cancellation requests must be submitted in writing via email.
No refund or credit will be issued for late arrival or early departure.
Retreat Cancellation by Organizers
While we do not anticipate changes to the retreat schedule, EASE reserves the right to cancel, postpone, and/or reschedule the retreat if circumstances arise that make doing so necessary.
In that event, guests will receive a credit for all registration fees paid, which may be applied toward a future EASE Retreat or other qualifying EASE event. Credits must be used within twenty-four (24) months of issuance unless otherwise specified by EASE.
Registration fees are otherwise non-refundable, and EASE is not responsible for airfare, accommodations, travel insurance, or other travel-related expenses.
3. Travel Insurance
We do not require travel insurance, but we strongly encourage all guests to purchase it.
Because registration becomes non-refundable after April 30, 2027, travel insurance is often the best way to protect your investment against unforeseen circumstances, including illness, injury, family emergencies, travel disruptions, weather events, and other unexpected situations.
We recommend purchasing coverage shortly after registration and selecting a policy that covers registration fees, airfare, accommodations, and other travel-related costs.
4. Additional Expenses and Incidentals
Guests will be required to provide a valid credit card to the venue at check-in. Unless expressly identified as included in the retreat package, all incidental expenses and personal charges, including spa services, room service, minibar purchases, laundry services, optional activities, parking, gratuities, and other guest-specific expenses, are the sole responsibility of the guest and may not be charged to EASE, its organizers, or any master account established for retreat-related expenses.
Airport transfers, group excursions, and off-property dinners included as part of the official retreat itinerary are covered. Transportation for any activities a guest arranges independently, outside of the official retreat itinerary, is the guest's own responsibility and is not covered by EASE.
5. Guest Conduct and Community Standards
The EASE Retreat is built on mutual respect, kindness, discretion, and care for one another.
Guests are expected to contribute to a respectful, welcoming, and supportive retreat experience. This includes treating fellow guests, facilitators, staff, and vendors with kindness and respect; honoring the privacy and confidentiality of others; refraining from harassing, discriminatory, threatening, disruptive, or otherwise inappropriate conduct; and following reasonable instructions provided by retreat organizers and venue staff.
The organizers reserve the right to remove any guest whose conduct materially disrupts the retreat experience or creates concerns regarding the safety, wellbeing, or enjoyment of others. No refund or credit will be provided in such circumstances.
6. Health, Safety and Assumption of Risk
Participation in the EASE Retreat is voluntary and may involve travel, physical movement, recreational activities, outdoor activities, excursions, group experiences, and other activities inherent to a retreat environment.
Guests are responsible for determining whether participation is appropriate for their individual circumstances and should consult healthcare providers as needed before attending.
Each guest assumes responsibility for their own health, wellbeing, participation, and personal decisions while attending the retreat.
The EASE Retreat, its organizers, facilitators, contractors, and affiliates are not medical providers, mental health providers, therapists, or healthcare professionals. No portion of the retreat should be construed as medical, psychological, therapeutic, legal, financial, or other professional advice.
7. Weather, Force Majeure and Travel Disruptions
Refunds are not provided for cancellations or disruptions resulting from weather events, natural disasters, acts of God, government actions, public health emergencies, transportation disruptions, or other circumstances beyond the organizers' reasonable control.
The organizers may, but are not obligated to, offer a credit or reschedule the retreat in such circumstances. Guests are strongly encouraged to purchase travel insurance that includes force majeure coverage.
8. Film, Photo and Media Release
Because portions of the EASE Retreat experience may be documented through photography, video, and storytelling, all guests are asked to review and agree to the following Media Release as a condition of attendance.
By attending the retreat, guests may be photographed, filmed, or otherwise recorded. Guests grant EASE and its organizers a perpetual, irrevocable, royalty-free, worldwide license to use such content for social media, marketing, website content, newsletters, event recaps, and related promotional purposes.
No compensation will be paid for such use. Guests waive any right to review or approve content prior to publication. Consent to this release is a condition of attendance.
9. Governing Law
These Guest Policies and Agreements are governed by Florida law. The parties agree to make a good-faith effort to resolve disputes informally and, if necessary, through non-binding mediation before pursuing litigation. Any litigation arising from or relating to the EASE Retreat shall be brought exclusively in the state or federal courts located in Orange County, Florida.
